We are currently seeking to add a full time Client Services Associate to our team of client-focused, friendly and competent professionals. The Client Services Associate is an integral part of the Bluestem team focusing on superior client service, office operations, and administrative support to the firm. This team member builds and maintains client relationships through a variety of interactions and handles many facets of the day-to-day office operations enabling advisors to focus on client needs.
Develops relationships with the firm’s clients while maintaining confidentiality of sensitive client and business information.
Ensures client needs are met by routing requests to appropriate staff and confirming follow-through.
Assists with routine administrative tasks related to clients’ custodial investment accounts with TD Ameritrade.
Coordinates all meeting participants’ schedules to select a time that meets each client’s needs, while balancing financial advisor workloads.
Communicates with clients regarding needed documents for planning meetings.
Assists with client-wide communication through email and social media platforms.
Promotes an environment of continual improvement. Recommends ways to eliminate waste and improve operational efficiency.
Assists in researching and implementing new technology and develops proficiency with current and new software products.
Coordinates with clients to ensure the firm has the information and documents necessary to provide superior service, including maintaining an organized Document Management System.
Routinely works with and maintains data within the firm’s Client Relationship Management (CRM) database to ensure it is accurate and complete.
Greets clients and answers telephone.
Ensures adequate office supplies and client materials are maintained.
Assists other team members with administrative tasks and projects.
Associate’s degree in business, communications or other related field preferred; high school diploma or equivalency with at least 3 years of related experience or training; or equivalent combination of education and experience.
Proficiency in a wide variety of technology including MS Office Suite; comfortable operating in a paperless office environment.
Strong interpersonal skills to build solid professional relationships with a variety of clients.
Excellent written and verbal communication skills.
Adheres to the strictest of confidentiality in performance of all job duties.
Possesses a high degree of accuracy and attention to detail.
Ability to manage and process paperwork efficiently and accurately.
Ability to prioritize and take on multiple tasks.
